Take the right dates into your calendar

Understand an ICS download, check what it contains, and avoid mistaking a snapshot for a live subscription.

An ICS export is a file containing the dates from that result. It is a snapshot, not a live feed. After important input or source changes, review the plan and export a new file.

Save to revisit inputs, share a link to pass them on, or export dates as an ICS snapshot. These are separate actions, not continuous synchronization.

Check the result before downloading

Confirm the selected dates and the type of export offered by that tool. A single selected PTO window, an annual plan, and a Pro combined export can contain different sets of events. Read the control label and preview the plan first.

Do not export a result whose source status is unavailable or whose inputs are invalid. Resolve the message in the tool, then review the recalculated result.

  1. Check the start and end dates and the event labels.
  2. Choose the export that matches your intended scope.
  3. Save the .ics file.
  4. Import it using your calendar application’s file-import option.
  5. Inspect the imported dates before relying on them.

A file is not a live connection

Downloading an ICS file does not subscribe your calendar to DateXLife. Source refreshes in the planner do not rewrite files you already downloaded or events already imported.

When the plan changes, compare the new file with the old imported events. Calendar applications handle repeated imports differently; review or remove the outdated copy using your calendar’s controls rather than assuming it will be replaced.

Check all-day dates and timed events

An all-day break should cover the intended calendar dates. A timed sports event should appear in the timezone you expect. Check the first and last date of a multi-day event and any day boundary after import.

A calendar event is a planning aid, not a PTO approval or an official organizer update. Keep the approval and official source separate from your reminder.

If a download does not appear

Check your browser’s download list and whether the browser blocked the action. Keep the valid result open and try the download once more. If the file is empty or the dates are wrong, stop using it and contact Support with the tool, expected dates, and observed behavior.

Avoid sending private plan descriptions, account credentials, or payment details in a support example. A small synthetic date example is often enough to show the problem.

Questions, answered

Will the downloaded calendar update automatically?

No. ICS downloads are snapshots. Review and export again when the plan or underlying schedule changes.

Does calendar export request leave from my employer?

No. It adds planning dates to a calendar file. Submit approval through your employer’s normal process.
